How to Use NexLedger
Step-by-step help for sales, purchases, office costs, salary, and monthly books.
Create your workspace, open Account → Settings to set company logo, address, and contact details, then add customers and products. Use Opening balances under Setup if you already have cash, bank, stock, or customer balances.
Customers lists everyone you sell to. Tap Edit on a row (or the customer name) to change company, owner, phone, email, and addresses. Suppliers work the same for people you buy from. Keep codes clear so invoices and purchases stay easy to find.
Create Invoice opens a PDF-style sheet. Save as draft while you work, or Create invoice to issue and lock it. Record customer payments from Payments → Customers (money receipts). Choose payment methods on the invoice so customers know how to pay.
Build a quote under Quotations, send or print it, then convert an accepted quote into an invoice so you do not retype lines.
Add products and categories before you sell. Turn on stock tracking when you need inventory. Confirming a purchase increases stock; issuing an invoice decreases it. Every change leaves a stock movement for audit.
Open Purchases → Add purchase. Pick the supplier, add line items (products or descriptions), set quantities and costs, then save. Confirm the purchase when goods arrive so stock and accounts payable update. Pay the supplier later under Payments → Suppliers.
Use Expenses for day-to-day office costs (rent share, utilities, internet, stationery, travel, meals, courier). Tap Add expense, choose or create a category under Expense categories, enter amount, date, and a short description, then save. Paid from cash or bank posts to your books automatically.
Treat recurring overhead as expenses with clear categories such as Rent, Internet, Software, or Insurance. Enter each payment when it leaves cash/bank (monthly rent on the 1st, for example). Use the same category every month so Profit & loss and the dashboard month snapshot show a stable overhead total.
Record salaries and wages as expenses under a Salary / Payroll category (create it once under Expense categories). One expense per payday or per employee—include the period in the description (e.g. “March salary — Admin”). For advances or corrections, use Money & books → Record money movement (debit/credit voucher) so cash/bank stay correct.
1) Post all office expenses, salaries, and fixed costs for the month. 2) Confirm purchases that arrived. 3) Open Dashboard for this month’s sales, expenses, and profit snapshot. 4) Open Reports → Profit & loss for the month range to see income vs costs by category. 5) Check Cash book and Bank book under Money & books if balances look off. Keep one category per cost type so the sum-up stays readable.
Cash book and Bank book show money in and out. Use vouchers for corrections or transfers. Trial balance, chart of accounts, and journals are for accountants. Empty optional voucher lines do not block posting; debits and credits must balance.
Reports hub: Profit & loss, Balance sheet, Customer balances (AR aging), Supplier balances (AP aging), and Sales summary. Use owner-friendly labels on each screen. Filter by date when you close the month.
Invite teammates under Team with the right role. Add sister concerns (extra companies) from the company switcher when you manage more than one brand. Account settings cover logo, document numbering, payment methods, and modules such as Restaurant, Donation, or Hotel when enabled.
Open Share to your Friend to copy your unique referral link or share it through WhatsApp, Facebook, or email. Your bonus is recorded when a referred company signs up.
Open the Support button at the bottom-right of any workspace page to submit a request. Resolutions appear there and in Alerts (Notifications).
